Role Summary
The Medical Assistant will be responsible to provide comprehensive administrative and operational support to the Medical Director while assisting with front office operations to ensure the efficient delivery of patient services. This role serves as a key point of contact for patients, visitors, healthcare professionals, and internal staff, maintaining the highest standards of professionalism, confidentiality, and customer service.

General Duties
Performs other appropriate and related duties as assigned by the Reporting-Head to meet departmental objectives
Continuously look for ways to streamline and improve workflow
Assist with quarterly/annual audit as required without compromising the regular clinical activities.
Ensure daily reports are completed and submitted.
Key Responsibilities:
Executive & Administrative Support:
Provide day-to-day administrative support to the Director.
Manage the Director's calendar, appointments, meetings, and travel arrangements.
Coordinate meetings, prepare agendas, record minutes, and follow up on action items.
Prepare correspondence, reports, presentations, and official documents.
Maintain confidential records, files, and documentation.
Assist with licensing, credentialing, regulatory, and accreditation documentation when required.
Coordinate communication between the Director and internal/external stakeholders.
Perform general administrative duties as assigned.

Patient Care & Front Desk Responsibilities:
Advocate for patients' and their families' rights, responsibilities, confidentiality, education, and access to information.
Deliver exceptional customer service by creating a welcoming and supportive environment.
Respond professionally to patient enquiries and concerns.
Attend to telephone calls promptly while adhering to professional telephone etiquette.
Determine the nature of patients' enquiries and direct them to the appropriate department or healthcare professional.
Assist with checking patient insurance benefits and pre-authorizations for services.
Stay current with billing codes, insurance policies, and government regulations (e.g., Medicare, Medicaid).
Ensure the collection of co-pays, deductibles, and any outstanding balances from patients.
Proficient in scheduling software, EMR/EHR systems, and MS Office Suite.
Submit insurance claims and follow up on any rejections or denials, ensuring timely and accurate billing.
Provide information regarding Total Health's services and preventive health screening packages.
Maintain and administer the patient feedback and complaint management process.
Prepare and process patient billing according to insurance coverage and company procedures.

Medical Administration
Maintain accurate patient documentation and ensure accurate record keeping.
Prepare and maintain daily operational and patient activity reports.
Maintain strict confidentiality of patient information in accordance with company policies.
Coordinate communication between patients and healthcare providers.
Support clinical operations through administrative assistance.
Support continuous improvement initiatives within the clinic.
Escalate concerns requiring management attention promptly.

Compliance
Adhere to Total Health's policies, procedures, and ethical standards.
Maintain patient confidentiality and comply with all applicable healthcare regulations.
Maintain professional appearance and conduct at all times.
Perform any other duties assigned by management that are consistent with the role.
Maintain weekly and periodic reporting for management review.
Support internal event coordination and brand awareness activities.
Performs other related duties incidental to the work described herein as and when assigned by the Administrator.
Carries out any other duties assigned by the Reporting-Head.

General Requirements:
Minimum of 3-4 years of experience as a Medical Assistant in healthcare setup.
Bachelor's degree Healthcare Administration, Associate, or a related field with 10+ years of experience as Medical Assistant and Administrative Assistant.
High interpersonal skills with proven experience in managing customers/patients.
Efficient management of executive administrative tasks.
Accuracy of documentation and daily reporting.
Ability to multitask and work in a fast-paced healthcare environment.
High level of discretion and confidentiality.
Resolution of patient enquiries and complaints within agreed timelines.
Compliance with company policies and confidentiality requirements
Ability to remain composed and professional in stressful situations.
Ability to work independently and collaboratively within a multidisciplinary team.
