Position Summary
The Immigration & Payroll Coordinator is responsible for providing administrative support across both immigration and payroll functions within the People, Culture & Development (PCD) Department. This role ensures compliance with Cayman Islands immigration regulations while supporting accurate and timely payroll administration.
The successful candidate will serve as a cross-functional resource capable of providing coverage and continuity for both immigration and payroll operations. This position requires exceptional attention to detail, strong organizational skills, confidentiality, and the ability to manage multiple priorities while delivering excellent internal client service.

Key Responsibilities
Immigration Administration
• Process and review Temporary Work Permits, Grants, Renewals, and Visitor Work Visas (VWVs), ensuring compliance with Cayman Islands immigration regulations.
• Prepare, submit, and track immigration applications and supporting documentation within required deadlines.
• Liaise with Workforce Opportunities & Residency Cayman (WORC), government agencies, employees, and applicants regarding immigration matters.
• Maintain accurate immigration records, databases, and filing systems.
• Monitor application statuses and proactively follow up on outstanding documentation, approvals, and renewals.
• Respond to employee and manager inquiries regarding immigration policies, procedures, and requirements.
• Draft correspondence, letters, notifications, and supporting documents related to immigration applications and outcomes.
• Stay informed of changes to Cayman Islands immigration legislation, policies, and procedures.
• Support recruitment activities by coordinating immigration requirements for expatriate and local hires.
• Handle sensitive personal and employment information with a high degree of confidentiality and discretion.
Payroll & HR Administration
• Support payroll processing activities and maintain a strong working knowledge of payroll systems, procedures, and policies.
• Ensure accurate and timely processing of time entries, and all leave types through our timekeeping system, including reviews, corrections, and validations.
• Process payroll-related entries, including cashier shortages, loan deductions, bonus payments, allowance adjustments, and other payroll transactions.
• Ensure annual salary increase adjustments are entered accurately and within required timelines, including verification of back-pay calculations.
• Prepare job letters, salary letters, employment confirmations, and employee pay slips.
• Support employee separation processes, communicating final entitlements and benefits, and preparing exit documentation.
• Process pension, health insurance, and work permit cancellation requirements associated with employee terminations.
• Ensure employee documents are digitized, maintained, and appropriately filed in accordance with company standards.
• Provide guidance to employees and managers regarding payroll and general HR administrative matters.
• Support recruitment administration activities as required.
General Responsibilities
• Maintain strict confidentiality of employee, payroll, and immigration information.
• Ensure compliance with company policies, procedures, and regulatory requirements.
• Contribute to continuous improvement initiatives within payroll and immigration processes.
• Provide administrative support to the PCD Department as required.
• Collaborate effectively with team members to ensure operational continuity and cross-functional coverage during absences and peak workload periods.
• Perform other duties as assigned within the scope of the role.

Education & Experience
• Associate’s degree, Diploma, or equivalent qualification in Human Resources, Business Administration, Accounting, or a related field.
• Minimum 2-3 years of administrative experience in payroll, HR, and immigration administration
• 1-2 years experience with Cayman Islands immigration processes and employment-related administration is required, particularly familiarity with the WORC portal.
• 1-2 years experience with payroll and timekeeping systems is highly desirable, particularly PDS Vista.
Knowledge, Skills & Abilities
• Working knowledge of Cayman Islands immigration regulations and procedures.
• Understanding of payroll processes, payroll compliance, and employee records administration.
• Strong attention to detail and accuracy.
• Excellent organizational and time management skills.
• Strong verbal and written communication skills.
• Ability to handle confidential information with professionalism and discretion.
• Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook.
• Ability to manage multiple deadlines and priorities in a fast-paced environment.
• Strong customer-service orientation and problem-solving skills.
• Ability to work independently and collaboratively within a team environment.
