We are seeking an experienced candidate to join our diverse and expanding team in the position of:

Tenant Relations and Assistant Property Manager

Orchid Development is a division of the Flowers Group of companies. Orchid Development provides property management services to Cricket Square (including The Club), Flowers Apartments, Middle Ground Apartments, Orchid Village Condominiums, and Eucalyptus Building and operates Flowers Restaurateurs. Flowers Restaurateurs includes The Brasserie, The Market, Caboose, Juice/Wicket, Brasserie, Purveyors and SIX Meeting Spaces, along with future development projects.
The Tenant Relations & Assistant Property Manager will be responsible for providing a high level of personalised service and support to tenants at Cricket Square, while also assisting with the management and tenant experience of Orchid Development’s residential properties.
This is a highly visible, service-oriented role that combines the responsibilities of an Assistant Property Manager, Tenant Relations Coordinator and Property Concierge. The successful candidate will serve as a key point of contact for tenants, ensuring that enquiries, requests and concerns are handled promptly, professionally and with a strong focus on customer service.
The position will work closely with Property Management, Maintenance & Engineering, Security, Janitorial, Leasing and other internal and external service providers to ensure that tenants receive an exceptional experience and that properties are maintained and operated to a high standard.
The successful candidate must be personable, highly organised, responsive, discreet and proactive, with the ability to build strong relationships with tenants while maintaining appropriate professional boundaries.
Key Responsibilities include but not limited to:

Tenant Relations & Concierge Services

• Tenant move in - welcome onboarding experience coordination - according to SOP master document.
• Act as a primary point of contact for Cricket Square tenants, providing a welcoming, professional and responsive service.
• Build and maintain positive relationships with tenants, creating a strong sense of community and exceptional tenant experience.
• Respond to tenant enquiries, requests, complaints and service issues promptly and professionally.
• Assist tenants with general requests and coordinate with the appropriate internal department or service provider where required.
• Maintain regular communication with tenants regarding building activities, maintenance, access, events, disruptions and other relevant matters.
• Assist tenants with practical information relating to Cricket Square and its facilities, services and surrounding amenities.
• Coordinate tenant requests for services such as maintenance, cleaning, access, deliveries, parking and other building-related requirements.
• Follow up on outstanding tenant requests to ensure issues are resolved within appropriate timeframes.
• Conduct monthly tenant check-ins and periodic satisfaction follow-ups.
• Identify opportunities to improve the overall tenant experience and make recommendations to management.
• Ensure tenants receive all health and safety guidelines and hurricane preparedness plans according to annual calendar.

Assistant Property Management
• Assist the Residential Property Manager with the day-to-day administration and operation of Cricket Square and Orchid Development residential properties.
• Liaise with residential property manager to ensure available units are advertised, inquiries are reviewed and responded to in a timely manner.
• Assist with monitoring the condition and presentation of common areas and identifying maintenance or operational issues.
• Conduct regular property inspections and report issues requiring attention.
• Coordinate with maintenance teams, contractors and external service providers to ensure work is completed appropriately and within agreed timelines.
• Assist with obtaining quotations, coordinating contractor visits and following up on outstanding works.
• Maintain accurate records of maintenance requests, tenant communications, inspections and property-related matters.
• Schedule and attend potential residential tenant unit viewings.
• Assist with coordinating move-ins, move-outs and tenant transitions at residential properties.
• Assist with key, access card, parking and other property access administration.
• Support the Property Manager with lease administration, tenant documentation and other property-related administrative duties.
• Assist in maintaining accurate property and tenant records.
• Assist with monitoring service contracts and ensuring contractors and vendors meet agreed service standards.
• Escalate significant property, tenant or operational issues to the Property Manager in a timely manner.

Residential Property Support

• Provide tenant relations and concierge-style support to Orchid Development residential tenants as required.
• Assist with move-in and move-out coordination and ensure residents receive appropriate information regarding their property and available services.
• Conduct periodic inspections of residential units and common areas.
• Coordinate maintenance and repair requests between residents, property management and contractors.
• Assist residents with general property-related enquiries and provide appropriate guidance or referrals.
• Monitor recurring issues and make recommendations to improve resident satisfaction and property operations.
• Support the Property Manager in maintaining a consistent and professional standard across all residential properties.

Building operations & Facilities Coordination

• Liaise closely with Facilities, Maintenance, Security, Cleaning and other operational teams to resolve tenant-related matters.
• Monitor the presentation and cleanliness of tenant-facing areas and report concerns.
• Assist with coordinating planned maintenance and communicating disruptions to tenants.
• Assist with emergency or urgent tenant requests and ensure appropriate escalation.
• Support building events, tenant engagement initiatives and other activities designed to enhance the tenant experience.
• Maintain awareness of health, safety, security and emergency procedures relevant to the properties.
• Report any safety, security, damage or other risks immediately to the appropriate manager.

Tenant Engagement & Experience

• Develop and maintain a professional and service-focused relationship with tenants.
• Assist with tenant appreciation initiatives, community events and other engagement activities.
• Gather tenant feedback and identify trends, concerns and opportunities for improvement.
• Work with management to develop initiatives that improve tenant satisfaction and retention.
• Ensure tenant interactions consistently reflect the standards and reputation of Orchid Development and Cricket Square.

Administration & Reporting

• Maintain accurate records of tenant enquiries, complaints, service requests and resolutions.
• Prepare regular updates or reports for the Property Manager on tenant issues and outstanding matters.
• Assist with tracking maintenance requests and ensuring appropriate follow-up.
• Maintain confidentiality of tenant, property and company information.
• Assist with invoices, purchase orders, quotations and other administrative requirements as directed.
• Assist with the preparation of property management reports and documentation.

Education/Experience
• Minimum of 3 years' experience in property management, tenant relations, hospitality, concierge, facilities coordination, customer service or a related field.
• Excellent customer service and interpersonal skills.
• Strong written and verbal communication skills.
• Excellent organisational and administrative abilities.
• Strong attention to detail and follow-through.
• Ability to manage multiple requests and priorities simultaneously.
• Proficiency with Microsoft Office and standard administrative systems.
• Professional presentation and manner.
• Ability to handle confidential information with discretion.
• Strong problem-solving and conflict-resolution skills.
• Experience in commercial or residential property management.
• Experience working within a luxury hospitality, residential or corporate environment.
• Property management or facilities management qualification.
• Experience working with contractors and service providers.
• Knowledge of Cayman Islands property management practices.
• Experience with tenant management or property management software.
• Knowledge of local businesses, services and amenities would be advantageous.

• Holds a valid Cayman Islands driver’s license; willing to use personal vehicle for work-related tasks with mileage tracking—vehicle allowance may be considered based on usage.
