The Senior Trust Officer is responsible for the administration and Cayman-based oversight of a designated portfolio of Cayman Islands trusts, companies, private trust companies and related private-client structures.
Key Responsibilities
Portfolio and Fiduciary Oversight
-Serve as the Cayman-based trust contact for clients, settlors, beneficiaries, protectors, family offices and professional advisers.
-Maintain responsibility and Cayman-based oversight for a portfolio of trusts, companies, private trust companies, foundation companies and other private-client structures.
-Develop and maintain strong relationships with new and existing clients.
-Provide timely and accurate responses to daily client inquiries.
-Serve as an Authorised “B” Signatory for affiliate companies of TMF Cayman.
-Assist with fee reviews, billing processes and suporting our collections team.
-Maintain oversight of trust assets, banking arrangements and investment holdings, ensuring records remain complete and up to date.
-Review and interpret trust deeds, letters of wishes and constitutional documents and ensure each structure is administered in accordance with its terms, applicable law and internal policy.
-Prepare or review trustee and corporate documentation, including minutes, resolutions, memoranda of decision, deeds and statutory registers.
-Assess requests for trust or foundation distributions, appointments, loans, change to investments and other transactions; ensure adequate supporting information has been obtained; and coordinate the review and approval process.
-Ensure complete and accurate records are maintained for trustee decisions, transactions, assets and material correspondence.
-Working knowledge of FATCA, CRS, Economic Substance, Beneficial Ownership, and other trust structure related reporting.
Governance and Service Assurance
-Provide Cayman-based governance oversight of trust administration, accounting preparation and related services delivered by the Hong Kong team.
-Review and test KPI, service-level and management-information reporting, including sample-checking underlying records rather than relying solely on reported completion.
-Monitor service delivery against applicable internal policies and procedures, service standards and relevant intra-group service arrangements.
-Monitor the timely completion of periodic trust reviews, management accounts and annual financial statements, FATCA/CRS and economic-substance requirements, statutory and regulatory filings, trustee and board actions and other agreed deliverables.
-Maintain oversight of documentation required by Cayman trustees and directors, including meeting packs, resolutions, decision records, approvals and outstanding action items and identify missed deadlines, incomplete activity, inaccurate reporting and other exceptions; record and escalate them according to their materiality and potential client or regulatory impact.
-Identify recurring weaknesses and recommend improvements to workflows, controls and service standards.
-Refer matters to the Trust Manager, Compliance or Legal where specialist input or formal determination is required, without assuming responsibility for those functions.
Team Support
-Provide technical guidance and review support to Trust Officers, Assistant -Trust Officers and relevant members of the delivery teams.
-Communicate service expectations, priorities, deadlines and deficiencies clearly.
-Contribute to process improvement and mentoring junior staff.
Key Requirements
-A relevant bachelor’s degree is preferred.
-Diploma in STEP (the Society of Trust and Estate Practitioners).
-At least 5 years’ relevant trust, fiduciary or private-client experience.
-Strong client-service, communication, analytical and organizational skills.
-Knowledge of Cayman Islands trust and company law and fiduciary practice
-Ability to work in a team and to use own initiative when required.
-Possess excellent interpersonal and analytical skills.
-Strong fiduciary judgement regarding operational, governance and compliance responsibilities.
-Self-motivated with ability to work independently and part of a team when required.
