Position Summary
This is an entry-level Human Resources and customer service position reporting to the HR Manager. The successful candidate will provide administrative support to the HR department while also assisting with general reception duties and customer enquiries.
Duties include, but are not limited to:
· Assist with the preparation, distribution, compilation and submission of work permit applications and related payments.
· Maintain Trade and Business licenses files and assist with licenses renewals and recordkeeping.
· Maintain accurate and confidential employee records, personnel files and HR databases.
· Provide general admin support to the HR Manager, including filing, scanning, photocopying, data entry and document preparation.
· Assist with onboarding and offboarding paperwork, employee documentation and orientation preparation.
· Prepare standard HR correspondence, letters, forms and reports as directed by the HR Manager.
· Monitor important HR, immigration and licensing deadlines and provide timely reminders.
· Assist with coordinating staff training, meetings and employee activities as required.
· Respond to basic employee enquiries and refer confidential or complex matters to the HR Manager.
· Answer incoming telephone calls, assist with general enquiries, greet walk-in guests and collect and distribute mail.
· Assist customers with reservation bookings using the company’s reservation system.
· Provide additional administrative support to Managers as assigned.
Requirements
· High school diploma or equivalent.
· Previous administrative, clerical or customer service experience.
· Valid driver’s license and access to reliable transportation.
· Ability to compose professional business letters using proper grammar and spelling.
· Clear and concise written and verbal communication skills.
· Strong customer service, public relations and telephone skills.
· Proficiency in Microsoft Word and Excel, with good computer and typing skills.
· Strong organizational and time-management skills, with the ability to meet important deadlines.
· Excellent attention to detail and accuracy.
· Ability to manage multiple tasks and changing priorities in a fast-paced environment.
· Mature, focused, dependable and self-motivated.
· Ability to use initiative and work with minimal supervision.
· Ability to handle sensitive employee and company information with discretion and confidentiality.
