Ambassadors of the Environment Coordinator
The AOTE Coordinator is responsible for managing the daily aspects of the Ambassadors of the Environment program. This includes but is not limited to: Booking guests for activities and being the primary point of contact between guests and Ambassadors of the Environment, posting charges accurately, cash handling, maintaining building, registering guests when they arrive for activity, keeping records and guest information up to date, keeping supplies and food stocks up to par, maintaining an upbeat and positive work environment, and assisting wherever needed.
Qualifications:
1) Strong, positive character, integrity, and adaptability
2) Ability to interact successfully with guests and clients; ability to address and respond to guest complaints according to the Ritz-Carlton standards
3) Excellent written and verbal communication skills in English; ability to respond to all guest inquiries (including via phone and email) in a timely and appropriate manner, using professional telephone and correspondence skills.
4) Professional experience managing a retail shop and/or online booking platform
5) Ability to multi-task, prioritize, and organize work assignments appropriately
6) Ability to work without direct supervision
7) Ability to understand verbal instructions
8) Ability to plan, organize, and accommodate guest requests and the activity schedules throughout the day and year
9) Strong organizational skills, and ability to maintain and organize accurate records
10) Flexibility to work a changeable schedule including evenings, weekends and holidays
11) Ability to interact successfully with hotel management/staff; Ability to accept supervisor and/or manager’s guidance
12) Experience working in a luxury resort/environment with outstanding customer service skills and the ability to upsell activities, products and services.
13) A warm & cheerful personality, an interest & appreciation for Cayman's culture & environment, & an ability and desire to lead, organize, and supervise children
14) Ability to use computers and learn new software. Proficiency in MS Word, Excel, and Microsoft Outlook, as well as hotel operating systems such as Opera, Micros, and Realtime Reservations
15) Moderate to strong swimmer
16) For Insurance reasons, the applicant must be 25+ years of age, with a clean (or willing to obtain) a Cayman Islands driving license.
17) Ability to keep an accurate cash count in assigned bank and organize receipts and payments throughout shift, turning in an accurate financial report at end of shift.
18) Ability to keep track of retail inventory and keep an accurate count of all merchandise, especially during month-end
19) Ability to speak a second/third language (Spanish, French, etc.) is preferred.
20) CPR/First Aid, AED certified preferred.
Essential Job Functions:
Provide a warm welcome to all guests at the Heritage House & share detailed knowledge of the various programs, registrar, guest billing, retail and program sales as well as scheduling special programs and services.
Coordinating transportation, equipment, amenities, guest meals, and providing administrative support to the Program Manager and general support to the program staff. (These duties include but are not limited to: assisting as a second staff member on activities both on land and in the water, cleaning, retail inventories, and child monitoring). Assist guests with program check-in
Ensure all paperwork is in order. Give naturalists a list of guests participating in the program. Follow coordinator checklists for various shift periods. Ensure cleanliness of workspace. Answer inquiries about program and book program activities. Request materials and restock supplies as needed
Attend relevant hotel meetings and trainings. Continually improve program and make suggestions. Manage payments (cash, credit card, room charges, PM accounts) throughout the day.
