Cayman Hearing Center is seeking an experienced, warm and highly organised Patient Care Coordinator/Receptionist to join our team.
This is a permanent part-time position working approximately 20 hours per week, primarily during the afternoons, Monday through Friday. The position may expand to 40 hours per week as the practice's needs grow.
This is not an entry-level position. We are seeking someone with demonstrated experience managing a busy reception desk, serving customers or patients, handling competing priorities and working independently without continuous supervision.
The Patient Care Coordinator/Receptionist is often the first and last point of contact for our patients. The successful candidate must provide a welcoming, professional and efficient experience while ensuring that the front desk remains organised and responsive throughout the day.
Key responsibilities include:
Greeting patients and visitors warmly and professionally
Answering telephone calls, responding to messages and directing enquiries appropriately
Scheduling, confirming and rescheduling appointments
Checking patients in and out and ensuring their information is accurate
Collecting payments and issuing receipts
Responding to patient enquiries within the scope of the role and directing clinical questions to the appropriate team member
Monitoring the reception area and ensuring that the front desk remains covered
Communicating patient arrivals, delays and scheduling changes promptly to the clinical team
Assisting with scanning, filing, data entry and other administrative duties
Supporting patient follow-up, appointment reminders and recall activities
Helping to maintain an organised, calm and welcoming reception environment
Providing administrative support to the Senior Patient Care Coordinator and clinical team as needed
The ideal candidate will:
Have a strong track record of reliability, punctuality and professional conduct
Be warm, patient and genuinely enjoy helping people
Communicate clearly and professionally in person, by telephone and in writing
Be highly organised and able to manage several priorities at once
Show initiative and recognise what needs to be done without waiting for constant instruction
Pay close attention to detail and follow established procedures consistently
Understand the importance of confidentiality in a healthcare setting
Remain calm and solution-focused when the office becomes busy
Take ownership of assigned responsibilities and follow tasks through to completion
Work well as part of a small, collaborative team
Be comfortable receiving feedback and adapting as the needs of the practice change
Minimum requirements:
At least three years of relevant experience in reception, customer service, office administration or a similar public-facing role
Demonstrated experience independently managing telephone calls, appointments, customer enquiries, payments and administrative tasks
Strong computer and administrative skills
Professional written and spoken English
The ability to provide professional references who can confirm previous employment experience and reliability
Previous experience in a medical, dental or other healthcare setting is strongly preferred
Experience with appointment scheduling, payment processing or electronic patient records would be an asset
The usual schedule will be approximately 20 hours per week, primarily during the afternoons, Monday through Friday. The successful candidate must also have sufficient flexibility to work additional or adjusted daytime hours when required to provide reception coverage during the Senior Patient Care Coordinator’s vacation, illness or other absence. This may occasionally include working up to the practice’s full operating hours.
This position is best suited to an experienced administrative or customer-service professional seeking stable part-time employment and who may be interested in transitioning to a full-time role in the future.
