Position Summary
The School Receptionist serves as the first point of contact for students, parents, staff, and visitors. The role is responsible for managing front office operations, supporting student and school needs, coordinating the lunch program, maintaining records, processing payments, and promoting a safe, welcoming, and efficient school environment. Experience working with children, including those with diverse learning and behavioral needs, is preferred.
Key Responsibilities
Front Office & Communication
• Welcome visitors and respond to phone, email, and in-person inquiries.
• Maintain attendance records and visitor sign-in/out procedures.
• Communicate effectively with families, staff, and community members.
• Maintain confidentiality and safeguard sensitive information.
• Provide administrative support to school leadership.
Student Support & Safety
• Support student arrivals, departures, transitions, and lunch periods.
• Follow strict protocols for signing in and out both students and visitors.
• Monitor and respond to student needs in the reception area using positive behavior support strategies.
• Administer minor first aid and document incidents as required.
• Assist with emergency procedures and school-wide safety protocols.
Administration & Operations
• Open and close the school office daily.
• Maintain student, family, and school records.
• Organize filing systems and assist with school events and special projects.
Financial & Inventory Management
• Process tuition, uniform, lunch, and other school-related payments.
• Maintain financial records and receipts.
• Manage PE uniform inventory, sales, and distribution.
• Handle cash and payments according to school procedures.
Lunch Program Coordination
• Manage all aspects of the school lunch program.
• Submit lunch orders to vendors and maintain records of orders, payments, allergies, and dietary requirements.
• Receive, verify, organize, and distribute lunch deliveries.
• Coordinate lunch delivery to Primary classrooms and oversee distribution for Middle and High School students.
• Liaise with families, staff, and vendors regarding lunch-related matters.
• Ensure compliance with food safety and hygiene standards.
Qualifications & Experience
• High School Diploma required; post-secondary education preferred.
• Mature adult with minimum three years of experience in administration, customer service, education, healthcare, or a similarly fast-paced environment.
• Ability to meet all safeguarding, child protection, and employment screening requirements applicable to Hope Academy, including maintaining a clear police record and successfully completing all required background checks.
• Demonstrated commitment to safeguarding and promoting the welfare of children and young people in accordance with school policies and applicable regulations through completion of CPR, First Aid, and Child Safeguarding certification, if not already obtained.
• Food Handlers Certification approved by the Cayman Islands Government, or willingness to obtain.
• Proficiency in Microsoft Office Suite and Quickbooks.
• Experience handling confidential information, financial transactions, and recordkeeping.
• Experience working with children and families preferred.
• Be able to fulfil all safeguarding requirements

• Ability to move throughout the school campus and respond to student needs.
• Ability to sit, stand, and perform light lifting as required.
