Key Responsibilities
• Coordinate admissions, enrolment, student transitions, attendance, family communications and school management systems.
• Maintain confidential student and HR records, including admissions documentation, personnel files, contracts, recruitment and onboarding records, work permit documentation, teacher licences, police clearances and training records.
• Manage invoicing, payment follow-up, procurement, inventory and budget tracking, and prepare financial and operational summaries.
• Coordinate quarterly operational and strategic reporting for the Ministry of Education and Training (MoET), ensuring accurate information and timely submissions.
• Contribute to the school’s Self-Evaluation Form (SEF) and external Office of Education Standards (OES) review by analysing and evaluating attendance, punctuality, behaviour, safeguarding, health and safety, and other assigned operational evidence. Identify trends, areas for improvement and the impact of actions taken, and support relevant School Improvement Plan (SIP) priorities.
• Maintain organised, inspection-ready records and compliance evidence.
• Undertake designated Safeguarding Officer and Fire Marshal responsibilities, subject to appropriate training and appointment, including safeguarding documentation support, training records, fire drills, emergency preparedness and health and safety checks.
• Support the School Director with HR administration, staff communications, policy implementation and other operational duties as required.
Qualifications & Experience:
A bachelor’s degree in Business Administration, Law/Legal Administration, Human Resources, Education Administration or a related discipline, together with a minimum of three years’ relevant experience; or an equivalent combination of qualifications and substantial professional experience.
Applicants must demonstrate strong organisational, communication, reporting and computer skills, sound judgement, discretion, and the ability to manage competing priorities independently. Experience in school administration, HR, compliance, finance or regulatory reporting is advantageous. Experience within a specialist educational environment would be beneficial.
Hours & Remuneration:
Part-time, Tuesday–Thursday, 7:30 a.m.–4:30 p.m., with a 30-minute unpaid lunch. This represents 25.5 paid hours per week, averaging 110.5 paid hours per month.
Salary: CI$15–20 per hour, commensurate with qualifications and experience. The position includes approximately six weeks of scheduled school closure during which work may not be required. Any unpaid closure periods will be specified in the employment contract, subject to statutory annual leave, public holiday entitlements and other applicable employment benefits.
