This role is based in our Head Office on Seven Mile Beach supporting our existing Sales & Reservations team of 3. You will be one of the main points of contact for all Sales and Reservations queries and bookings received via phone and email, whilst working closely with other teams to ensure the smooth running of all our excursions and operations.
The working week will average 45 hours (5 days). Working days will include Saturdays, Sundays and public holidays as required, due to the nature of the business.
Duties include (But not limited to)
Reservations & Guest Services
- Serve as the main point of contact for all telephone and email reservation enquiries for Red Sail Sports.
- Advise guests on trips, diving and beach activities, recommending options suited to their interests and experience.
- Assist guests with confirming, changing or cancelling existing reservations.
- Cross-check daily bookings and email confirmations to ensure accuracy.
- Maintain the SharePoint beach reservation system and monitor for any errors.
- Work closely with staff at our hotel locations and provide support as needed.
- Produce the monthly commissions report for staff
Charters
- Manage local charter enquiries and bookings from start to finish.
- Advise guests on trip planning and itineraries.
- Coordinate with catering and transportation partners.
- Manage all charter invoicing and billing.
Partner Accounts
- Serve as the main point of contact for Ritz Destination Services, managing enquiries, bookings, coordination and monthly invoicing.
- Serve as the main point of contact for all Department of Tourism bookings and invoicing.
Social Media
- Respond to social media messages and comments promptly and in line with the company’s brand standards.
- Plan and schedule a monthly social media content calendar across three distinct brands.
- Manage the Red Sail Groups social media channels
Marketing & Content
- Create and maintain marketing materials and signage for the dive shops.
- Prepare memos for new activities.
- Coordinate with an external media agency to plan and produce digital content, including managing creative planning, communication and logistics across departments.
- Work with the Dive Manager to produce the monthly resident dive newsletter.
- Work with department heads to produce marketing initiatives
Job skills and requirements
- Previous experience in reservations, guest services, tourism or hospitality.
- Scuba diving certification.
- Excellent written and verbal communication skills, with a warm and professional telephone and email manner.
- Strong organizational and time-management skills, with close attention to detail when handling bookings and invoicing.
- Experience using social media platforms, including Instagram, Facebook, Pinterest and TikTok.
- Proficiency in Microsoft 365, including SharePoint, or the ability to quickly learn new systems.
- A strong eye for design and content. Previous experience creating marketing materials would be an advantage.
- Friendly, professional and able to work effectively as part of a team.
