Position Summary
The Facility Manager is responsible for the strategic oversight and day-to-day management of facilities operations, maintenance, safety, regulatory compliance, and asset reliability across a diverse portfolio that includes six (6) supermarkets averaging approximately 50,000 sq. ft. each, two (2) refrigeration and dry-goods warehouses of approximately 80,000 sq. ft. each, a propane plant/fuel storage and distribution facility, two (2) automotive dealerships with service and body shop operations, a rental car location, and a mixed-use retail, office, gym, and storage development comprising eight (8) retail units.
This role ensures all buildings, infrastructure, equipment, and systems are safe, fully operational, energy-efficient, and maintained in accordance with preventive and corrective maintenance plans, applicable health and safety requirements, environmental regulations, hazardous materials standards, fuel-handling requirements, and automotive/body-shop compliance obligations. The Facility Manager is accountable for developing and managing maintenance programs, budgets, capital improvement projects, vendor and contractor relationships, and a multi-site maintenance team to support operational continuity and business objectives.

In addition, the Facility Manager is responsible for the procurement, inventory management, and cost control of maintenance-related supplies and assets, including tools, spare parts, equipment, repair materials, and critical components required to maintain facilities and equipment in proper working order. This includes ensuring adequate stock levels, establishing inventory controls, monitoring usage and costs, and supporting maintenance planning to minimize downtime and maximize asset performance across all locations.

Portfolio Overview
• 6 supermarket locations, averaging ~50,000 sq ft per store
• 2 refrigeration & dry-goods warehouse facilities, ~80,000 sq ft each
• 1 propane plant (bulk propane storage, filling, and distribution facility)
• 2 car dealerships, each including a showroom, service shop, and body shop (~30,000 sq ft each, assumed)
• 1 rental car company location (rental office, wash bay, and vehicle lot)
• 1 retail/office/gym and storage development comprising 8 retail store units

Key Responsibilities
Multi-Site Facilities Operations
• Oversee daily facilities operations across all 6 supermarkets, both warehouses, the propane plant, and the shopping centre, ensuring consistent standards across every site.
• Develop and manage preventive maintenance programs for building systems, refrigeration units, HVAC, electrical, plumbing, and fire/life-safety systems.
• Coordinate and prioritize maintenance requests and emergency repairs across sites, minimizing downtime and disruption to store operations.
• Conduct regular site inspections and audits to identify maintenance needs, safety hazards, and compliance gaps.
Refrigeration & Warehouse Management
• Manage the maintenance and performance of refrigeration and cold-chain systems across both 80,000 sq ft warehouses to prevent spoilage and ensure food safety.
• Monitor temperature control systems, alarms, and backup power/generators for refrigerated and dry storage areas at each warehouse.
• Ensure warehouse racking, loading docks, forklifts, and material-handling equipment are maintained and safety-compliant at both sites.
• Liaise with warehouse operations staff at each location to align facilities maintenance with inventory flow and logistics schedules.

Propane Plant Management
• Oversee the maintenance, safety, and regulatory compliance of the propane plant, including bulk storage tanks, filling stations, pumps, vehicle maintenance and distribution lines.
• Ensure compliance with NFPA 58, DOT, OSHA, and state/local regulations governing propane storage, handling, and transport.
• Coordinate required inspections, pressure testing, leak detection, and certification renewals for propane storage, scheduling of plant audits by internationally recognised organisation/company and dispensing equipment.
• Maintain emergency response and spill/leak containment procedures specific to the propane facility; ensure staff are trained accordingly.
• Manage relationships with propane suppliers, haulers, and regulatory inspectors.
• Ensures that there are sufficient emergency spares on hand in case of unexpected critical plant or pipeline failures.
Dealership & Rental Car Facility Management
• Oversee facilities maintenance for 2 car dealerships, including showrooms, service shops, and body shops (lifts, alignment racks, compressors, exhaust extraction systems).
• Ensure body shop compliance with EPA, OSHA, and fire code requirements for paint booths, spray equipment, ventilation, and flammable/hazardous materials storage and disposal.
• Maintain service shop infrastructure including bays, lifts, waste oil and fluid handling/recycling systems, and compressed air systems.
• Maintain the rental car location, including the rental office, vehicle wash bay, fueling area, and parking/staging lot surfaces, lighting, and signage.
• Coordinate required inspections, permits, and certifications for automotive lifts, paint booths, and hazardous waste handling at dealership and rental sites.
• Manage vendor relationships for automotive equipment servicing, waste oil/hazmat disposal, and car wash equipment maintenance.
Shopping Centre Management
• Maintain common areas, parking, signage, lighting, and shared infrastructure across the 8-unit shopping centre.
• Serve as primary facilities point of contact for shopping centre tenants, addressing maintenance issues and lease-related facility obligations.
• Coordinate landscaping, cleaning, waste management, and security services for the centre.
Health, Safety & Compliance
• Ensure all sites comply with OSHA, local building codes, food safety regulations, and fire/life-safety requirements.
• Maintain accurate records of inspections, certifications, permits, and maintenance logs for each site.
• Lead risk assessments and implement corrective action plans; manage incident reporting and investigations.
• Ensure emergency preparedness plans are current and staff are trained on evacuation and emergency procedures.

Vendor & Contractor Management
• Source, negotiate, and manage relationships with contractors and vendors (HVAC, refrigeration, electrical, cleaning, landscaping, security, waste).
• Review vendor performance, contracts, and service-level agreements to ensure quality and cost-effectiveness.
• Obtain competitive bids for major repairs, renovations, and capital projects.
Budget & Financial Management
• Develop and manage annual facilities maintenance and capital expenditure budgets across all sites.
• Track and control maintenance costs, identifying opportunities for savings and efficiency improvements.
• Approve invoices, purchase orders, and expenditures within budget authority.
Team Leadership
• Supervise on-site maintenance staff and coordinate with the business unit at each location.
• Recruit, train, and evaluate facilities personnel; foster a culture of safety, accountability, and responsiveness.
• Provide 24/7 on-call oversight (or a rotating on-call schedule) for emergency facility issues.

Qualifications & Requirements
• Bachelor's degree in Facilities Management, Engineering, Business, or related field (or equivalent experience).
• 5+ years of facilities management experience, ideally across multi-site retail, grocery, or warehouse/distribution environments.
• Working knowledge of refrigeration/HVAC systems, building mechanical/electrical systems, and food-safety cold-chain requirements.
• Knowledge of propane/LPG storage and handling regulations (NFPA 58, DOT, OSHA) preferred; hazardous materials handling experience a plus.
• Familiarity with automotive service/body shop facility requirements (paint booths, lifts, waste oil/hazmat handling, EPA regulations) preferred.
• Strong understanding of health & safety regulations, building codes, and compliance standards.
• Proven experience managing budgets, vendors, and contractor relationships.
• Excellent organizational and multi-site coordination skills; ability to prioritize across competing demands.
• Strong leadership and communication skills, with the ability to manage remote and on-site teams.
• Proficiency with CMMS (computerized maintenance management systems) and standard office software.
• Valid driver's license and willingness to travel regularly between sites.

Job Duties (Summary)

Work Hours: 50 hours per week - Full Time, any overtime and holiday hours paid in lieu of
time worked.
Salary: CI$120,000 to $130,000 per annum
