Governors Village is one of Cayman’s newest mixed-use developments. It is a 108-unit, 254-bedroom community on Seven Mile Beach offering both short-term tourism stays and long-term residences, along with a range of public amenities. GV Trading Ltd. also operates the Seven Mile Storage facility.
We run on modern technology, including smart locks, a cloud property management system, OTA integrations and digital guest platforms. This helps us work efficiently, grow steadily and give guests and residents a smooth experience that keeps them coming back.
Position Overview
The Reservations Agent & Property Coordinator looks after the customer journey for short-stay guests, long-term residents and Seven Mile Storage customers, both online and in person. The role covers reservations, residential lease administration, storage bookings and billing, and day-to-day coordination with housekeeping, maintenance and accounts.
Accuracy is critical in this role. The bookings, payments, access codes and lease records you handle feed directly into billing, the Accounts Department and tourism tax reporting, so attention to detail and follow-through are essential.
The role reports to the Residences Manager and works closely with the Corporate Sales & Reservations Lead, housekeeping, maintenance, marketing and accounts.
Key Responsibilities
Reservations & Channel Management
• Reservations ownership: Manage short-stay reservations end to end in our property management system (WebRezPro), the direct booking engine and OTA extranets (Booking.com, Expedia, Airbnb), including new bookings, modifications, cancellations and no-shows.
• Channel accuracy: Keep availability, rate plans and restrictions accurate across all channels, in line with management and revenue-management direction.
• Enquiry conversion: Respond promptly and professionally to emails, phone calls and OTA messages, and convert enquiries and tentative bookings into confirmed reservations.
• Corporate and group support: Support the Corporate Sales & Reservations Lead with corporate, group and multi-unit bookings, including rooming lists and pre-arrival coordination.
• Pre-arrival checks: Confirm that guest details, rates, deposits, payment status and special requests are correct before every arrival.
Guest & Resident Experience
• Before arrival: Send confirmations, verify payments and registration details, and securely issue arrival instructions and smart-lock access codes.
• During the stay: Handle check-ins (digital and in person), questions and issues quickly and professionally, resolving or escalating as appropriate.
• After departure: Complete check-out and deposit reconciliation, respond to reviews, follow through on complaints and encourage repeat stays.
• Feedback and information: Record guest feedback and complaints in the feedback system, report trends to management, and keep guest information materials current across all channels.
Long-Term Residences & Leasing
• Lease execution: Prepare, issue and execute residential tenancy agreements using company templates, ensuring every agreement is complete and signed before move-in.
• Lease administration: Administer security deposits, rent schedules, renewals and notice periods, and keep tenant records accurate and up to date.
• Move-ins and move-outs: Coordinate move-in and move-out inspections with housekeeping and maintenance, documenting unit condition at each stage.
• Tenant relations: Act as the first point of contact for long-term residents, addressing their needs and concerns promptly.
Seven Mile Storage
• Storage bookings: Manage Seven Mile Storage bookings, rental agreements, billing and payments.
• Desk cover: Cover the storage desk and rental office for walk-in customers and enquiries as scheduled.
Billing, Reconciliation & Reporting
• Billing: Prepare and check billing for short-stay guests, long-term residents and storage customers.
• Reconciliation: Ensure all payments are correctly posted and reconciled against bookings and accounts, resolving discrepancies before reports are issued to the Accounts Department.
• Tourism tax: Keep stay records accurate and produce the supporting reports needed for tourism accommodation tax reporting.
• Management reporting: Prepare daily, weekly and monthly reports on occupancy, ADR, revenue, channel mix and guest satisfaction.
• Data and payment security: Handle card payments and personal data in line with PCI DSS and the Cayman Islands Data Protection Act.
Operations Coordination & Administration
• Housekeeping: Work with housekeeping to ensure units are turned around and inspected before every arrival.
• Maintenance: Log, track and follow up maintenance issues in the task management system until they are closed out.
• Systems and records: Maintain accuracy across the property management system, guest platforms and internal files so the team can find what it needs.
• Emergency procedures: Follow established emergency response procedures.
• Team support: Assist with marketing promotions and guest communications, and provide cover across reservations and property functions during peak periods.
