The Operation Supervisor is responsible for overseeing a portfolio of strata properties, including residential and commercial complexes. This role focuses on ensuring the effective management and maintenance of strata (and commercial) properties, facilitating communication between strata committees and owners, and managing the financial and administrative aspects of complexes.
The incumbent will serve as the primary liaison between strata committees, property owners, and tenants, foster and maintain positive relationships with strata committee members through regular communication and exceptional customer service, address and resolve owner and tenant inquiries, concerns, and issues promptly, oversee the daily operations of strata properties, ensuring they are well-maintained and compliant with strata regulations. In addition, the post holder will coordinate maintenance and repair activities, including managing service providers and contractors for common property areas, conduct regular inspections of strata properties to ensure compliance with safety, health, and strata bylaws.
As a result of the nature PLUM’s business, the post holder will also be responsible for the below function of the business to ensure a smooth daily operations between the business and all clients:
Financial Management:
• Prepare and manage budgets for strata schemes, ensuring accurate forecasting and financial planning.
• Oversee the collection of strata fees and levies and ensure timely payment of strata-related expenses.
• Provide strata committees and owners with regular financial reports and updates on property performance.
Owner and Tenant Relations:
• Handle communications with property owners and tenants, addressing complaints and resolving disputes related to strata properties.
• Facilitate and manage meetings with strata committees, including annual general meetings (AGMs) and extraordinary general meetings (EGMs).
• Assist in the preparation and distribution of meeting agendas, minutes, and other relevant documentation.
Compliance and Risk Management:
• Ensure all strata properties comply with local regulations, including strata-specific legislation.
• Stay informed about industry trends and changes in legislation affecting strata management.
• Implement risk management strategies to protect property owners, tenants, and the strata corporation.
Reporting and Documentation:
• Maintain accurate records of strata property operations, financial transactions, and owner communications.
• Prepare and present regular reports on strata property performance to senior management and strata committees.
• Ensure all documentation is completed accurately and stored securely, in compliance with strata regulations.
Also, when required, the incumbent may also be responsible for overseeing junior members of the Company and may be required to undertake additional duties necessary to meet the needs of the Company.
