The Events Coordinator is responsible for organising and coordinating the IslandSoul Festival - a multi-day, multi-venue festival built around human connection. This is the core purpose of the role: taking the festival from concept through planning, supplier management and production to delivery on the ground, and then through to post-event reporting.

Alongside the festival, the role coordinates IslandSoul's smaller experiences across the year, which act as build-up and community engagement for the main event.

This is a hands-on coordination role. The successful candidate will be expected to run the operational detail of a complex festival largely independently.

Key Responsibilities
Festival Planning and Delivery
• Build and own the full festival project plan, critical path and production timeline.
• Coordinate all festival logistics: venues, site plans, staging, sound, lighting, power, furniture, signage, transport and build/breakdown schedules.
• Source, brief, contract and manage suppliers, contractors and venue partners.
• Produce and maintain run sheets, site maps, crew schedules and contact lists.
• Lead the festival on site, directing crew and volunteers and resolving issues in real time.
• Manage the festival budget line by line, tracking commitments against forecast and reporting variances.
Programming and Experience Coordination
• Coordinate the festival programme: facilitators, performers, speakers and hosts - including contracting, travel, accommodation and on-site care.
• Translate experience concepts into deliverable schedules, spaces and guest flow.
• Ensure each element of the programme delivers genuine connection between participants, not passive attendance.
Compliance, Safety and Administration
• Secure all permits, licences and approvals required by the relevant Cayman Islands authorities.
• Produce risk assessments, health and safety plans, crowd management plans and contingency/weather plans.
• Arrange event insurance and confirm supplier insurance and certification.
• Manage ticketing, registration, attendee communications and on-site guest services.
• Maintain accurate event records, supplier files, invoices and post-event reports.
Partners, Sponsors and Promotion Support
• Deliver contracted sponsor and partner activations on site, to the standard agreed.
• Provide the information, timelines and assets the marketing function needs to promote the festival.
• Capture event content and attendee feedback for reporting and future promotion.

Essential Requirements
• Minimum 5 years' experience coordinating complex activities, programmes, festivals or large-scale, multi-day events from concept through to delivery.
• Demonstrable track record of delivering complex events built around human connection - shared experience, participation and community - rather than standard conference or corporate formats.
• Experience of festivals or large-scale events delivered outside the Cayman Islands, with the ability to bring international practice and standards into local delivery.
• Proven ability to coordinate multi-supplier event production: site, staging, technical, permitting and crew.
• Proven ownership of event budgets on events of comparable scale, including supplier contracting.
• Strong working knowledge of event health and safety, risk assessment and permitting requirements.
• Excellent written and verbal communication skills.
• Highly organised, calm under pressure, able to work independently with minimal supervision.
• Available to work evenings, weekends and public holidays, and extended hours in the run-up to and during festival delivery.
• Clean police record and clean driving licence; own transportation.
Preferred
• Degree in events management, hospitality, arts and culture or a related discipline such as human resources (preferred, not required).
• Experience working with sponsors and commercial partners on event activations.
• Experience designing participant experience, not only delivering logistics.
Working Conditions
• Full-time, approximately 30 hours per week, with hours varying in line with the event calendar.
• Early mornings, evenings, weekends and public holidays are a regular requirement.
• Substantial outdoor work in variable weather conditions; physically active role including site set-up and breakdown.
• A confidentiality agreement must be signed prior to commencement of employment.
