Job Overview
The Electrical Inventory Control Clerk manages the inventory of electrical materials, tools, and equipment for Britthay Electric Ltd's operations in the Cayman Islands. The role focuses on maintaining accurate computerized stock records, receiving and issuing materials, reconciling inventory, and supporting timely replenishment for commercial and industrial requirements. The clerk also supports electrical counter sales and purchasing activities, ensuring that customer orders, supplier orders, payments, supporting documents, and inventory movements are accurately recorded and linked.
Key Responsibilities
• Receive, inspect, and verify incoming electrical materials against purchase orders and delivery documents; record receipts and report shortages, damage, or incorrect items.
• Maintain accurate computerized records of item codes, descriptions, quantities, storage locations, costs, and stock movements.
• Record materials issued, sold, transferred, or returned promptly, using the correct supporting documents and customer or project references.
• Conduct cycle counts and physical inventories; investigate discrepancies, reconcile records, and obtain approval before making stock adjustments.
• Monitor stock levels, usage, outstanding orders, and supplier lead times; identify replenishment needs and help prevent shortages or excess stock.
• Prepare and issue materials for customer orders and commercial or industrial projects; coordinate picking, collection, and delivery with warehouse and field staff.
• Keep storage areas, bin locations, and product labels organized to support accurate identification, safe storage, and efficient retrieval.
• Identify slow-moving, obsolete, or damaged stock and assist with approved returns, transfers, or disposal.
• Prepare inventory-status, usage, and stock-movement reports; maintain transaction records and support audits and project billing.
• Assist with purchasing by obtaining supplier quotations, comparing prices and availability, and preparing approved purchase orders for replenishment or customer requirements.
• Follow up on supplier orders and deliveries; help resolve discrepancies among purchase orders, goods received, and supplier invoices.
• Provide supporting counter-sales service by checking electrical product details and availability, preparing quotations, and processing customer orders.
• Process payments, receipts, and authorized returns when providing sales cover; reconcile transactions and ensure the corresponding inventory records are updated.
• Coordinate with sales, purchasing, accounts, warehouse, and field teams; follow company inventory procedures and maintain organized delivery and import documentation.

Qualifications
• Education: A completed college or university qualification of at least an associate degree in business administration, inventory or supply chain management, accounting, information technology, or a related field is required. A high school diploma alone is not sufficient.
• Experience: At least three years of experience in inventory control, stock administration, warehouse operations, or materials management, preferably involving electrical or construction supplies. Electrical counter-sales or purchasing experience is an advantage.
• Product Knowledge: Strong working knowledge of electrical materials and tools, including the ability to identify part numbers, sizes, ratings, and specifications for commercial and industrial requirements.
• Computer Proficiency: Advanced computer literacy and practical experience with computerized inventory systems and Excel are required.
• Other Requirements: Ability to maintain accurate records, handle confidential information, and work independently while coordinating effectively with other departments.
• Testing Requirements: Candidates may be assessed through practical Excel, data-entry, inventory-reconciliation, and electrical-product-identification exercises.
Skills Required
• Proficiency in inventory-management software, digital stock tracking, and integrated sales and purchasing systems; Acumatica or comparable software experience is preferred.
• Strong Excel skills, including formulas, sorting, filtering, lookups, and the preparation of stock reports and cost comparisons.
• Proficiency in Word, email, electronic filing, and retrieving supporting transaction documents.
• Fast, accurate typing and data entry, with close attention to item codes, quantities, units of measure, and costs.
• Ability to reconcile physical stock with system records and investigate missing, duplicated, or incorrect transactions.
• Ability to read electrical product descriptions, supplier catalogues, and technical specifications, and to refer uncertain selections for verification.
• Strong numerical skills for stock counts, reorder quantities, pricing, and approved currency conversions.
• Clear communication and customer-service skills for working with customers, suppliers, and internal teams.
• Strong organization, problem-solving, and prioritization skills for managing stock discrepancies and urgent material requests.
• Commitment to safe material handling, accurate documentation, and consistent inventory procedures.

Work Environment
• Work is divided among office, sales-counter, and warehouse duties, with extensive use of computers and inventory systems during a normal nine-hour shift.
• Regular coordination with warehouse, sales, accounts, and field personnel is required during receiving, stock counts, and order fulfillment.
• Warehouse duties may involve heat, humidity, dust, moderate noise, moving equipment, loading areas, and materials stored at different heights.
• Additional hours may be required for stocktakes, deliveries, or urgent operational needs; occasional supplier or project-site visits may also be required.
Physical Requirements
• Lift, carry, push, pull, position, or otherwise handle electrical materials, tools, and equipment weighing up to 50 pounds. Use suitable material-handling equipment or request assistance for bulky or heavier items.
• Sit for approximately four to six hours during a typical nine-hour shift while completing data entry, inventory reconciliation, purchasing, reporting, and counter-sales activities.
• Stand or walk for approximately three to five hours during a typical nine-hour shift while receiving materials, conducting stock counts, preparing orders, and checking warehouse locations. Time spent sitting, standing, and walking may vary or overlap according to operational needs.
• Bend, stoop, crouch, kneel, twist, and reach intermittently throughout the shift, including reaching above shoulder height and retrieving materials from shelves at different levels. These activities may total up to two hours during a typical shift.
• Use approved step ladders, warehouse ladders, or access equipment at heights up to 10 feet to inspect, count, retrieve, label, or organize inventory while maintaining safe balance and coordination.
• Operate forklifts, pallet jacks, hand trucks, carts, and other approved material-handling equipment only when properly trained and authorized.
• Load and unload deliveries, move safely through warehouse aisles and loading areas, and handle or stack materials without damaging products or creating unsafe conditions.
• Read product labels, part numbers, technical information, delivery documents, and computer screens accurately.
• Use hands and fingers repeatedly for typing, scanning, counting, labeling, handling documents, and examining products or samples.
• Wear appropriate personal protective equipment and follow all warehouse, forklift, ladder, loading, delivery, and site-safety procedures.
