Assistant Manager - Ops Analyst

Responsibilities for this position include managing the administration of Harmonic Loan Services records, updating financial records using Power BI and NetSuite, as well as completing international bank reconciliations and assisting with systems user setup and other ad hoc projects as required.

ESSENTIAL FUNCTIONS
Harmonic Loan Services – HPS Tax
- Maintain records of expected incoming receipts & payments for large tax payment batches
- Prepare external wire payments and internal account transfers
- Assist with ad hoc receipts and payments ensuring correct supporting documentation has been received
- Monitoring and sorting fax queue, analyzing incoming documents, categorizing them and ensuring the reach the appropriate team
- Coordination and tracking of internal deliverable management and approval processes; and Data management of files.
- Providing project support of a clerical nature to the project team
- Collate quarterly billing and assist with invoicing
- Prepare daily cash reconciliations within FM3 system
Internal Finance
- Update and prepare HFS Group Bank Balances on Power BI and send an update to Chief Financial Controller daily on email.
- Review daily bank movements, prepare csv file imports and allocate/ reconcile as appropriate
- Prepare monthly bank reconciliations on all Cayman and Canada accounts.
- Monitor Vendor inbox and enter all vendor invoices to NetSuite and save invoices to the appropriate folder for payment.
- Generate customer invoices on NetSuite and email to accountant.
- Prepare weekly payment summary
- Reconcile and report on complex vendor engagements across multiple entities, jurisdictions and currencies
- Maintain relevant ZohoCRM applications.

Other Responsibilities
- Participate in special projects
- Provide coverage for team members and support colleagues to ensure all work is completed
- Other job functions as required

JOB QUALIFICATIONS
- Qualifications: High school graduate with qualifications in finance, accounting, or book-keeping.
- Experience: 3+ years of experience specifically focusing on project administration, data analysis and finance. Experience within the fund administration space preferred
- Knowledge: Must have at least 2 years’ experience completing local and international bank account reconciliations
TECHNICAL REQUIREMENTS
- Solid working knowledge of all Windows applications with Excel to an advanced level.
- Must be proficient in NetSuite and Power BI, Zoho CRM and customer screening tools such as Word Check/Compliance, Thompson Reuters. PowerPoint and Sharepoint knowledge would be an asset
- Basic understanding and experience using FM3 software and/or fund accounting applications

SALARY and BENEFITS
- Salary USD$ 75,000 to $ 95,000
- Vacation – 25 days
- Standard Sick & Compassionate per law
- Pension – standard per law of 5% up to cap
- Health – 100% of employee only cost on a premier plan
- Annual discretionary bonus
- Relevant professional qualifications subscriptions covered up to US$1,500 per annum.
