Job Overview: The Electrical Procurement and Inventory Clerk coordinates the office-based purchasing and inventory processes that keep Britthay Electric Ltd projects supplied with the correct electrical materials, tools, and equipment. The role coordinates requisitions, supplier quotations, purchase orders, follow-up delivery, stock records, and material availability with project, estimating, warehouse, and field teams. Accurate records, timely replenishment, and careful resolution of order discrepancies help control costs, reduce delays, and support reliable project execution across the Cayman Islands.
Key Responsibilities:
• Plan and execute daily office tasks related to electrical procurement, inventory control, and administrative support.
• Review material requisitions and confirm quantities, descriptions, specifications, delivery needs, and project coding before ordering.
• Research and evaluate suppliers based on price, quality, availability, lead time, reliability, and suitability for electrical construction requirements.
• Request and compare quotations, negotiate prices and delivery terms within assigned authority, and document the basis for supplier selection.
• Prepare and process purchase orders, send order details to suppliers and internal requestors, and maintain complete purchasing files.
• Track requisitions, orders, backorders, freight, and delivery dates; follow up with suppliers to prevent or resolve shortages and delays.
• Coordinate with project managers, estimators, warehouse staff, and field teams to align material requirements with project schedules, budgets, and priorities.
• Maintain accurate computerized records of stock levels, item locations, transfers, usage, costs, deliveries, and outstanding commitments.
• Monitor inventory levels and usage trends, recommend replenishment, and place approved orders to reduce shortages and excess stock.
• Verify receiving records against purchase orders, invoices, packing slips, and product specifications; coordinate correction of damages, shortages, substitutions, and billing discrepancies.
• Support cycle counts, physical inventories, reconciliations, and audits by researching variances and maintaining clear supporting documentation.
• Maintain working knowledge of electrical materials, tools, equipment, product specifications, and practical substitutes used in commercial electrical work.
• Maintain vendor records, price lists, contracts, product information, and procurement reports for management review and audit reference.
• Coordinate import, freight, and delivery documentation in line with applicable Cayman Islands customs and import requirements and company procedures.
• Complete daily time and material worksheets on a phone or computer for accurate project tracking and billing.

Qualifications:
• Education: Minimum is an associate two-year degree in business administration, inventory or supply chain management, accounting, information technology, engineering or a related field is required. Electrical trade education is huge plus.
• Experience: At least 3 years of experience in purchasing, procurement, inventory control, retail, warehouse administration, or materials coordination; experience in electrical contracting, construction, or a related trade environment is preferred.
• Certifications/Licenses: Valid driver's license required; school certificates, procurement credential, with relevant electrical trade certification is preferred.
• Other Requirements: Clean police records, ability to pass applicable background checks, and familiarity with Cayman Islands customs and import processes is big plus.
• Testing Requirements: Candidates may be assessed using Cognitive Ability Tests, Numerical Reasoning Tests, Technical Aptitude Tests, and Personality Tests.
Skills Required:
• Strong organizational skills, ability to multitask, and ability to work independently or as part of a team.
• Excellent written, verbal, and interpersonal communication skills for collaboration with project and supplier stakeholders.
• Strong understanding of electrical systems, components, materials, products, and installation methods.
• Proficiency in Microsoft Office Suite, including high proficiency in Excel.
• High attention to detail and accuracy in purchasing, receiving, invoice, inventory, and confidential company records.
• Strong analytical, troubleshooting, and problem-solving skills for shortages, delays, substitutions, damages, and record discrepancies.
• Strong negotiation skills for purchasing and vendor relations.
• Ability to identify, categorize, and compare electrical materials, tools, components, product specifications, catalogs, and material lists.
• Proficiency in inventory, purchasing, and accounting software, such as Acumatica, and related digital tracking tools.
• Strong numerical skills for cost comparisons, inventory reconciliation, order quantities, and basic reporting.
• Customer service orientation when responding to internal material requests and supplier inquiries.
Work Environment:
• Primarily office-based setting for most administrative, estimating, design, and financial tasks.
• Exposure to adverse weather conditions, such as rain, wet environments, extreme heat, or extreme cold.
• Extended hours common, including early mornings, evenings, weekends, and holidays to meet project deadlines.
• Occasional visits to construction sites or job sites for inspections, measurements, verification, coordination, or documentation.
• Travel between multiple job sites across the islands daily.
• Use of company vehicles for site mobility.
• Potential noise, dust, and electrical hazards requiring PPE usage.
• Collaboration with diverse teams in busy commercial developments.
• Occasional supplier visits or warehouse inspections in varied conditions.
• Office environment with computer workstations and phone systems.
Physical Requirements:
